Data collection and reporting is an essential part of your Safe School Ambassadors® (SSA) program. This process gives you insight into the impact the program is having on your campus, and provides us with statistical support for obtaining future funding to support your program.

There are three main components of the data collection process:

  • Action Snapshot Campaign (Ideally twice, but at least once per school year)
  • Year End Survey (end of school year, starting in April)   
  • Impact Letter (end of school year)

NOTE: Schools that receive grant funding for their SSA program are required, as a condition of grant acceptance, to provide Community Matters with the data collection items detailed below.

Action Snapshot Campaign

Collecting information on your Ambassadors’ interactions with fellow students provides you with valuable insight into how actively they are using their skills, which can guide you in helping them become better upstanders on your campus. By providing your Campaign results to Community Matters, we are able to report back to funders on the effectiveness of the program.

In January and May, have your Ambassadors record their interventions consistently for a one- to two-week period, then provide the results to Community Matters using the forms provided below. We will remind the Program Advisor at your school when it’s time to do your Action Snapshot. (Schools that receive their SSA training in the spring may do just a single Campaign in May for that school year.) Middle and High Schools: Distribute Action Logs to your Ambassadors during the Action Snapshot Campaign and have them complete one form for each Ambassador Action they take. Collect the completed Action Logs and tally the number of Actions and send the results to Community Matters, using the Google Form below, or the paper Summary Form. If you use Google Forms at your school, you can create an Action Log in Google Forms for your Ambassadors to use to report their actions. Here is a sample Google Form Action Log you can use as a template; you’ll need to duplicate it in your Google Forms account to receive responses.

Elementary Schools: Use the Elementary version below and do the Guided Recollection activity. Use the Google Form or the paper Summary form to report your results.

Use the form below to submit the results of your Action Snapshot Campaign, in lieu of the hand written version. We collect your responses automatically using this method, so there’s nothing to mail in to CM.

Year End Survey (end of school year, available April - June)

This survey is designed to collect anecdotal information on the changes in school climate on your campus, and the experience of Ambassadors and Program adults participating in the Safe School Ambassadors Program. There are separate surveys for Ambassadors and for Program adults. The surveys also give an opportunity to provide feedback on the program.

Impact Letter (end of school year)

The final piece of the data collection process is for SSA school principals to submit a letter that contains the reasons the school chose to implement SSA, the changes in school climate and discipline their campus experienced, and their interest in continuing to receive funding for the program.
